I. Position Overview
This role is the operational backbone of the Group's Hong Kong office, combining full-spectrum HR operations, IT coordination, and local compliance execution. We are looking for a hands-on operational all-rounder who can independently manage the office's day-to-day operations beyond traditional administration.
You will act as the local execution arm for HQ's HR, IT, and Finance functions, while also managing local vendors and property services, ensuring the office runs efficiently across people, systems, finance, and regulatory dimensions.
II. Key Responsibilities
- Full-Cycle HR Operations Support
- Act as the primary HR contact for the Hong Kong office, managing end-to-end employee lifecycle processes: offer follow-up, onboarding (contract signing, system account setup, access/equipment provisioning), probation reviews, exit interviews, and asset retrieval.
- Maintain local employee files and HR system data, ensuring accuracy and compliance with data protection standards.
- Serve as the local interpreter of HQ HR policies, addressing staff inquiries on leave, attendance, benefits, and other HR matters, while collecting local feedback to drive policy improvements.
- IT Coordination & Basic System Support
- Act as the local liaison for the HQ IT team, overseeing daily maintenance of office networks, hardware/software systems, and meeting room equipment; coordinate troubleshooting and repairs.
- Assist HQ IT with system upgrades, account/permission management (Office 365, internal OA, business systems, etc.), and IT Onboarding/Offboarding for employees.
- Proactively explore and introduce AI tools and productivity software to enhance local team efficiency.
- Local Compliance, Finance & Vendor Collaboration
- Stay up-to-date with Hong Kong employment compliance requirements (e.g., Employment Ordinance, MPF, tax filing) and assist HQ HR/Finance in preparing statutory submissions and annual audit materials.
- Conduct initial review of employee reimbursement claims, verifying receipt compliance and budget allocation, and liaise with Group Finance to ensure a closed-loop reimbursement process.
- Manage key local office vendors (property management, cleaning, equipment leasing, etc.), regularly assess service quality, and optimize vendor relationships to control costs.
- Process Optimization & Project Participation
- Apply systematic thinking to map and improve internal office operation workflows (e.g., procurement approvals, asset management, IT support ticketing), identifying bottlenecks and proposing actionable solutions.
- Participate in or lead regional ad-hoc projects as business needs arise, such as employer branding initiatives, local cultural events, or new system rollouts.
III. Requirements
Key Competencies
- Holistic Operational Mindset: Ability to view issues from HR, IT, finance, and compliance perspectives, not confined to a single function.
- Hands-on & Learning Agility: Comfortable with basic IT/software operations and AI tools, eager to quickly adopt new systems, and capable of resolving fundamental technical issues independently.
- Communication & Coordination: Clear written and spoken communication in both Chinese and English, able to collaborate effectively with HQ in Mainland China, local teams, and overseas colleagues.
- Accountability & Compliance Awareness: High sensitivity and rigor when handling employee data, financial information, and legal compliance.
- Self-motivated & Resilient: Able to proactively prioritize multiple independent tasks and adapt to project-based working rhythms.
Requirements
- Age/Experience: Fresh graduates or candidates with 1–3 years of experience are welcome; internships or project experience in HR, IT support, or operations are a plus.
- Education: Bachelor's degree or above in STEM, Human Resources, Information Technology, or related fields preferred.
- Languages: Fluent in Mandarin; Cantonese proficiency is an advantage; basic English reading/writing skills (involves English systems and correspondence).
- Work Eligibility: Must hold a valid Hong Kong work status (Permanent Resident, One-way Permit, IANG, Top Talent Pass Scheme, etc.).
IV. What We Offer
- Growth Platform: Take independent ownership of core Hong Kong office operations, gaining authentic cross-functional experience spanning HR, IT, and compliance.
- International Team: Collaborate with colleagues from diverse cultural backgrounds, broadening your professional horizons.
- Competitive Compensation & Benefits: Package to be discussed during the interview, including annual leave, medical insurance, etc.
- Clear Career Progression: High performers may advance into broader management, regional HRBP, or IT operations leadership roles.
