Job Title: Senior Executive Assistant / Executive Assistant (s) (Full-Time / Part-Time)

Assist Head of Administration or Line manager in day to-day managerial and administration functions under some of the following areas:

Key Responsibilities

Publicity & Communications:

Assist in executing publicity strategies, marketing campaigns, and public relations initiatives.
Support the draft, editing, and distribution of promotional materials, news releases, social media content, and newsletters.
Provide operational and hands-on logistical support for publicity events, PR campaigns, trade shows, exhibitions, and university/industry visits.

General Office & Stakeholder Support:

Perform general office duties, including preparing business correspondence, reports, and documentation, and liaising with internal and external stakeholders.

HR & Financial Administration:

Provide documentation support for human resources matters and routine account administration.

Procurement & Tendering:

Assist in managing routine tasks related to accounting, tendering, and procurement processes.

Data Management & Reporting:

Assist in compiling statistical data and preparing administrative/progress reports for management review.

Ad-hoc Tasks:

Undertake additional projects and tasks as assigned by the supervisor and/or Head of Administration.

(Note: Scope of duties and workload will be tailored based on the appointed position level and employment mode.)

Requirements

Education:

Bachelor’s degree in Business Administration, Communications, Public Relations, Marketing, Accounting, or related disciplines. (Candidates with lower qualifications but relevant work experience will also be considered.)

Experience:

Senior Executive Assistant:

Minimum of 4 years of solid experience in general administration, publicity, or event management (prior experience in tertiary/research institutions is an advantage). Candidates with less experience will be considered for the Executive Assistant position.

Attributes:

Self-motivated, detail-oriented team player with a strong sense of responsibility, positive attitude, and excellent interpersonal skills.

Technical & Language Skills:

Proficient in MS Office applications (Word, Excel, PowerPoint). Familiarity with basic design, social media tools, or content creation software is a plus.
Good command of both written and spoken English and Chinese (including Putonghua).

Working Location: Hong Kong Science Park, Shatin, with transportation provided for occasional travel to the Clear Water Bay Campus.
