About the Role

We are seeking a proactive and versatile Executive Assistant to provide all-rounded administrative, operational and coordination support within a dynamic executive environment.

This role offers broad exposure across executive support, payment administration, VIP hospitality arrangements, event coordination and special projects. The successful candidate will be highly organized, adaptable and comfortable managing a diverse range of responsibilities while maintaining the highest level of professionalism and discretion.

What You'll Be Responsible For

Administrative & Operational Support

Provide comprehensive administrative and coordination support for business operations and projects.
Coordinate meetings, logistics, travel arrangements and related administrative activities.
Prepare reports, presentations, correspondence and other documentation as required.
Maintain accurate records and ensure proper document administration.

Payment & Financial Administration

Support payment administration processes and maintain relevant documentation.
Coordinate with internal stakeholders to facilitate approvals and follow-up actions.
Assist in tracking invoices, expenses and payment-related matters.
Ensure proper records are maintained in accordance with internal procedures.

VIP Hospitality & Event Coordination

Coordinate hospitality arrangements, meetings and special events for senior stakeholders and guests.
Liaise with vendors and service providers to ensure seamless execution of activities.
Support logistics, procurement and other arrangements as required.

Projects & General Coordination

Support cross-functional initiatives and special assignments.
Coordinate with internal and external stakeholders on a range of operational matters.
Provide flexible support on ad hoc assignments

Requirements

Degree holder or above in Business Administration, Accounting, Finance or related disciplines.
3-8 years of experience in administration, executive support, operations, business support or related functions.
Exposure to accounting support, expense management or financial coordination will be an advantage.
Experience working in service-oriented environments is preferred.

Good numerical sense and basic understanding of payment processes.
Excellent attention to detail and follow-through.
Able to handle confidential and sensitive information with discretion.
Strong communication and interpersonal skills.
Proactive, adaptable and willing to take ownership of responsibilities.
Positive attitude with a hands-on and service-oriented mindset.
Proficient in Microsoft Office applications.
