Office Manager – Hong Kong (Central)

Greenhill & Co. Asia Limited is seeking an experienced and highly organized Office Manager to oversee the daily operations of our Hong Kong office, ensuring a smooth and efficient work environment. This role is crucial in supporting the Mizuho Greenhill Private Capital Advisory team and maintaining a professional and productive atmosphere.

The Mizuho Greenhill Private Capital Advisory team in Hong Kong works together with GPs and LPs to provide liquidity sources to those looking to monetize illiquid assets. Our professionals have worked with many of the world’s largest, most sophisticated institutional investors on leveraging the secondary market through structures such as sponsor-led transactions, fund liquidity solutions, secondary directs, management company monetization, fund valuation and sales.

Job Responsibilities

Oversee office budget and expenses, including procurement of office supplies, equipment, and services, ensuring cost-effectiveness and adherence to company policies.

Manage vendor relationships, negotiate contracts, and ensure quality service delivery for office-related services (e.g., cleaning, maintenance, IT support).

Coordinate and organize team business travel, internal and external meetings, conferences, and company events, including scheduling, logistics, and catering arrangements.

Ensure compliance with health and safety regulations and implement office policies and procedures to maintain a secure and productive workplace.

Manage office space planning, renovations, and reconfigurations to optimize efficiency and accommodate business needs.

Handle incoming and outgoing correspondence, including mail, couriers, and general inquiries, directing them to the appropriate personnel.

Oversee the maintenance and repair of office equipment and facilities, ensuring all systems are in good working order.

Support HR functions, including onboarding new employees, maintaining personnel records (including tracking annual leave entitlements and usage), coordinating employee health insurance and assisting with payroll administration as needed.

Provide local on-the-ground support to the execution of other corporate functions, such compliance, finance, audit, and tax, in coordination with Mizuho | Greenhill’s corporate teams in New York, Tokyo and across Asia-Pacific,

Implement and maintain efficient filing systems and data management processes.

Act as a point of contact for internal and external stakeholders regarding office-related matters.

Job Qualifications

Bachelor's degree in Business Administration, Office Management, or a related field preferred.

Minimum of 5 years of progressive experience in office management, preferably within an SFC-regulated financial services or professional services environment.

Proven experience across administrative functions within a regional or global firm.

Excellent communication skills, both written and verbal, in English and Cantonese (Mandarin a plus).

Strong organizational and time management skills with the ability to prioritize tasks effectively and manage multiple projects simultaneously.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong problem-solving abilities and a proactive approach to office operations.

Demonstrated ability to work independently and as part of a team.

Knowledge of local health and safety regulations.

Experience with budget management and vendor negotiations.

High level of discretion and confidentiality.
