Role Mission

This role is designed to support the smooth and effective operation of our Hong Kong office, with key responsibilities spanning office administration, coordination with China and overseas offices, and executive support to senior management. The role will be central in maintaining an organised, efficient, and professional working environment.
The position also plays an important part in supporting the company’s cross-border business activities and day-to-day operational needs.

Role Summary

You will support a range of functions across office operations, interoffice coordination, and executive administration.
This is a hands-on role that requires strong communication skills, a high level of confidentiality, and the ability to manage multiple priorities in a fast-paced environment.
You will work closely with senior management, local staff, and colleagues in China and overseas to ensure smooth business support and effective communication.

Job Description

Take full responsibility for the daily operations of the office and ensure all administrative functions run smoothly and efficiently.
Manage office supplies, equipment, facilities, and vendor relationships.
Organise and coordinate meetings, business travel, appointments, and schedules for senior management.
Handle administrative duties for senior management and the wider team, including document preparation, correspondence, and follow-up.
Oversee budget tracking, expense claims, invoice processing, and basic bookkeeping support.
Manage onboarding and offboarding processes, including workspace preparation, documentation, and staff arrangements.
Handle HR-related administration, including maintaining employee records and coordinating recruitment activities.
Liaise with external service providers, building management, and business partners when required.
Ensure office policies and procedures are properly followed, maintained, and updated where necessary.
Lead ad hoc projects and perform other duties as assigned.
Continuously review and improve office efficiency, workflow, and administrative processes.

Ideal Candidate

Degree holder, preferably in Business Administration, Office Administration, or a related discipline.
At least 5 years of experience in office administration, office operation, executive support, or a combination of related functions.
Experience working in a small office, multinational environment, or cross-border business setting is an advantage.
Strong organisational, interpersonal, and communication skills.
Able to handle confidential matters with discretion and professionalism.
Proficient in MS Office applications, especially Word, Excel, and Outlook.
Good communications in English, Chinese, Cantonese and Mandarin
A collaborative mindset and a strong sense of responsibility.
