The Job

Manage and ensure the efficient delivery of comprehensive office services, encompassing office renovation projects, premises and facilities management, inventory control, receipt and dispatch operations, and the installation of office facilities, to maintain a functional, sustainable, and environmentally friendly work environment;
Maintain and enhance the functionality of essential office solutions, including telephone and recording services, and audio-visual/room booking systems, while prioritizing environmentally friendly technologies;
Implement effective vendor management practices to monitor and evaluate contractor performance, ensuring that vendors adhere to green standards and sustainability practices;
Plan and execute procurement activities for office supplies and services with a focus on sustainability, which includes maintaining and updating supplier lists to prioritize vendors that offer eco-friendly products, conducting procurement and tender exercises that emphasize green practices, and ensuring cost-effectiveness;
Engage service providers and suppliers in accordance with relevant policies and procedures, ensuring compliance with promoting environmentally responsible service delivery;
Prepare and manage the annual budget, ensuring adherence to budgetary constraints and preventing overspending within the assigned areas of responsibility; and
Perform additional duties as required to support the overall efficiency and effectiveness of office operations, with a focus on enhancing green initiatives.

The Person

A recognized degree, or equivalent;
At least four years of hands-on experience in property management/facilities management/general administration, preferably gained from public organizations or large corporations;
A proven track record of driving efforts towards a greener and more sustainable future would be an advantage;
Ability to work under tight schedule and pressure;
Good understanding of different internal and external factors affecting own function and role;
Willing to contribute ideas and be flexible towards changes;
Able to exercise good judgement by analyzing all relevant issues logically;
Able to build and maintain good relationships with team members;
Capable of explaining ideas and thoughts in a clear and organized way; and
Candidate with less experience will be considered as Officer.

Remuneration Package
A competitive remuneration and benefits package including a discretionary performance-linked variable pay, annual leave, medical, dental and life insurance coverage, and MPF will be offered. All new appointments will be made on a two-year fixed-term contract initially prior to consideration for appointment on a non-fixed-term basis.
