Responsibilities:

Providing secretariat support to Board and Committees of the Institute
Co-ordinate and organise committee seminars, workshops, study tour, events, members activities, exhibitions, award schemes, and other business-related networking events;
Support various departmental operations and projects, including webpage maintenance, application and enquiry handling, as well as data processing
Prepare promotional materials, i.e. flyers, brochures, eDM, social media post for event marketing and promotion;
Maintaining good liaison and communication with members, government, allied professional bodies, media, related stakeholders and the general public
Support the development and production of the Institute’s publications
Manage meeting logistics including room reservations and set up, catering, etc.
Drafting minutes and papers of meetings, correspondence, etc.
Undertaking ad hoc duties as assigned by the supervisor or the Council from time to time.

Requirements:

Bachelor degree from a recognized university with good command of English and Chinese
Minimum 3 years’ experience in related functions
High proficiency in Adobe Creative Suite (e.g. Photoshop, Illustrator, InDesign) and drawing skills with a good sense of trends
Good analytical, organizational and problem-solving skills
Self-motivated, detailed minded with strong sense of responsibility
Excellent communication skills and able to work in a fast-paced working environment both independently and in a team setting
Experience in secretarial support to board/committee work in NGO and event management is a definite advantage
Team player with good interpersonal and communication skills, and ability to multi-task
Strong attention to details and accuracy
Excellent organizational and time management skills
Proficient in Microsoft Word, Excel and PowerPoint and Chinese word processing
