Provide secretarial and administrative support
Manage calendar and schedule appointments
Assist in the preparation and distribution of meeting materials

The appointee will be required to:

provide secretarial and administrative support to two directors and their teams, and the relating committees;
manage calendar and schedule appointments, meetings, and events with internal and external parties;
plan and coordinate travel arrangements, including sourcing quotations, booking transportation and accommodations, and preparing related documentation;
assist in the preparation and distribution of meeting materials, and coordinate logistic arrangement of meetings;
manage and maintain the filing systems across multiple locations;
update internal systems and databases to support project tracking and documentation;
maintain and handle formal documentation and records to ensure compliance with internal standards; and
perform other duties as assigned.

Requirements:

A higher diploma or above;
5 or more years of secretarial and/or administrative experience in sizable organizations, with experience in government departments or public organizations being an advantage;
A good team player with excellent interpersonal skills;
Meticulous, able to work independently, highly-organized and capable of working under pressure with multi-task assignments;
High proficiency in MS Office applications and Chinese word processing; and
A good command of written and spoken English and Chinese, with fluency in Putonghua being an advantage.
