This is an excellent opportunity for a highly organised and experienced Executive Assistant/Office Manager to support senior executives and oversee office operations

Client Details

My client is a new set up in the buy side industry within Financial Services, backed by some key players in the market they are urgently looking for an Office Manager/ Executive Assistant to support senior management. They will also need to be comfortable and have demonstrated previous experience in a new set up environment to assist with office admin and developing new SOPs and processes to ensure efficiency.

Description

As an Executive Assistant /Office Manager, your main responsibilities will include:

Providing comprehensive administrative support to senior executives, including calendar management and travel arrangements.
Overseeing daily office operations to ensure smooth and efficient workflow.
Managing correspondence, preparing reports, and maintaining records as required.
Coordinating meetings, conferences, and other events both locally and internationally.
Handling expense reports and budget tracking for the office and executives.
Liaising with internal departments and external partners to facilitate communication and collaboration.
Ensuring compliance with company policies and procedures in office management tasks.
Supervising office supplies and vendor management to maintain optimal resources.

Profile

A successful EA/OM should have:

Higher education in Business Administration or relevant
Over 6 years experience in new start up environments in secretarial/ admin capacity - ideally in Financial Services.
Strong organisational and multitasking skills with an eye for detail.
Excellent written and verbal communication abilities in English, Mandarin and Cantonese
Proficiency in office software such as Microsoft Office Suite and scheduling tools.
A proactive and solution-oriented approach to managing challenges.
The ability to maintain confidentiality and handle sensitive information with discretion.
