This is an exciting opportunity for an Executive Assistant/Office Admin to provide comprehensive administrative and secretarial support in the financial services sector

Client Details

Our client is a boutique fund house with over 15 years presence in Asia. They are currently looking for an EA to support a Senior Partner in the business, this role is around 70% EA and 30% Office Administration for the wider office.

Description

As an Executive Assistant/Office Admin, your main responsibilities will include:

Providing executive-level administrative support to senior management, including scheduling meetings and managing calendars.
Coordinating travel arrangements, including flights, accommodations, and itineraries.
Maintaining and organising confidential files, documents, and reports.
Handling incoming and outgoing correspondence, including emails, letters, and phone calls.
Handling personal matters also -liaising with household staff such as drivers, helpers to ensure kids and family schedules are on top of
Overseeing general office administration, such as ordering supplies and maintaining office facilities.
Preparing presentations, reports, and meeting materials as required.
Supporting the planning and execution of company events and meetings.
Ensuring compliance with company policies and procedures in all administrative activities.

Profile

A successful Executive Assistant/Office Admin should have:

Higher education in business administration or relevant
Around 10 years+ solid experience in secretarial support / administration in financial services
Previous experience in a secretarial, administrative, or office management role,
Strong organisational and multitasking skills with keen attention to detail.
Excellent verbal and written communication skills in English; proficiency in Cantonese or Mandarin is a plus.
A proactive attitude with the ability to work independently and under pressure.
Strong problem-solving skills and a commitment to maintaining confidentiality.
