Assistant Accountant (Accounts Payable)

Reporting directly to the Manager, the Assistant Accountant (Accounts Payable) supports the efficient and accurate processing of all supplier invoices and employee expense claims within a small, collaborative in-house accounting team.

The candidate will be responsible for end-to-end AP activities, including invoice verification, coding, data entry, payment preparation, and resolving queries with internal stakeholders and external vendors. Additionally, this role helps ensure that payments are made on time, transactions are properly recorded in the general ledger, and company policies and controls are consistently applied.

It is an ideal opportunity for someone early in their accounting career to gain broad hands-on experience across the payables cycle, contribute to process improvements, and develop a solid foundation in financial operations within a growing business.

Key responsibilities

Your responsibilities will include, but are not limited to:

Process supplier invoices, staff expense claims and credit notes accurately and in a timely manner, ensuring proper coding, approvals and supporting documentation.
Maintain up-to-date accounts payable ledgers and follow up on discrepancies or missing documents with vendors and internal stakeholders.
Help prepare weekly and monthly payment runs, ensuring payments are scheduled according to agreed terms and in line with internal controls and approval limits.
Respond to vendor and internal queries professionally, investigate and resolve invoice or payment issues, and escalate matters where necessary.
Assist with month-end closing activities, including AP-related accruals, reconciliations and reports to support the Accountant/Finance Manager.
Help maintain accurate vendor master data, including setting up new suppliers and updating changes in banking and contact details in line with company policies.
Support the implementation and continuous improvement of AP processes, controls and systems to enhance efficiency, accuracy and compliance.

Qualifications & Experience

Diploma or above in Accounting or a related discipline.
Minimum 3 years of hands-on accounting experience in a commercial environment, preferably with a sourcing office and/or small and medium-sized enterprise.
Proficient in MS Office applications, particularly Outlook, Excel and Word.
Experience with Microsoft AX / D365 is an advantage.
Good command of spoken and written English and Chinese.
Detail-oriented, well organised and eager to learn.
Able to work both collaboratively in a team and independently with minimal supervision.
Immediate availability a huge advantage.
