The Department of Philosophy at Lingnan University is one of the leading philosophy departments in Asia. Faculty members publish in top international journals, and the Department offers multiple undergraduate programmes, a Senior Year Programme, a taught postgraduate programme, and research postgraduate supervision at MPhil and PhD levels. The Department also has a strong and growing portfolio of academic events, research activities, and external engagement.

The Department is now seeking to appoint a Senior Administrative Officer. The appointee will be responsible for the overall coordination, supervision, and management of departmental administrative operations, and will play a key role in ensuring operational continuity, procedural consistency, and effective support for the Department's academic and strategic development.

Responsibilities

The appointee will be responsible for a wide range of senior-level administrative duties, including but not limited to:

Overseeing, coordinating, and managing all departmental administrative operations
Directly supervising, guiding, and training Administrative Officers and ensuring effective workload allocation
Acting as the primary administrative liaison with the Head of Department
Ensuring continuity of operations and institutional memory, particularly during staff transitions or peak workload periods
Overseeing programme administration across undergraduate programmes, the Senior Year Programme, and coordination with administrative staff supporting taught postgraduate programmes
Overseeing student-facing administrative processes, including enquiries, applications, documentation, and case follow-up
Managing financial and accounts-related processes, including purchasing, reimbursements, honoraria, invoices, budget tracking, and liaison with the Finance Office
Overseeing the organisation of seminars, conferences, workshops, visiting scholar activities, and other academic events
Preparing, checking, and consolidating reports required by the Faculty, Registry, and central offices
Ensuring compliance with University procedures, deadlines, and record-keeping requirements
Acting as an escalation point for complex, time-sensitive, or sensitive administrative matters
Providing operational continuity in the event of staff absence or emergency situations
Performing other duties as assigned by the Head of Department

The Senior Administrative Officer will work closely with the Head of Department to ensure that administrative operations effectively support academic priorities and strategic initiatives.

Requirements

A recognised Bachelor's degree with substantial relevant administrative experience in the tertiary education sector
Proven experience in coordinating complex administrative operations
A strong command of written and spoken English and Chinese (including Putonghua)
High level of competence in computer literacy and administrative systems
Strong organisational, problem-solving, and report-writing skills
The ability to work independently, manage competing priorities, and handle sensitive matters with discretion
A strong sense of responsibility, initiative, and commitment to meeting deadlines

Salary and Benefits
Commencing salary will be commensurate with qualifications and experience. Fringe benefits, where applicable, include annual leave, medical and dental benefits, mandatory provident fund and gratuity.
