How you will make an impact:
The Executive Assistant will play a vital role in supporting the Managing Director of Healthcare by providing comprehensive administrative and operational assistance. This position is essential for ensuring the smooth functioning of the Healthcare Division and facilitating effective communication among team members and stakeholders.
- Administrative Support: Manages the Managing Director's calendar, schedules meetings, and coordinates travel arrangements as and when necessary.
- Communication Facilitation: Serves as a liaison between the Managing Director and internal/external stakeholders, ensuring clear and effective communication.
- Action Item Management: Tracks and follows up on action items and tasks assigned to the Healthcare team to ensure timely completion.
- Documentation Preparation: Prepares reports, presentations, and other documents as needed, ensuring accuracy and professionalism.
- Meeting Coordination: Organizes and prepares materials for meetings, including agendas, minutes, and follow-up tasks.
- Project Support: Assists in the planning and execution of Healthcare projects and initiatives, collaborating with team members as necessary.
- Team Collaboration: Works closely with healthcare staff to support divisional goals and fosters a cooperative working environment.
- Confidentiality Maintenance: Handles sensitive information with discretion and maintains confidentiality at all times.
What we are looking for:
Qualifications:
- A Bachelor’s degree in Business Administration or a related field.
- Minimum 6 years’ experience as an Executive Assistant or in a similar role supporting senior executives
Experience and skills:
- Demonstrated success as an executive assistant or in a similar administrative role, showcasing relevant skills and competencies.
- Ability to work independently under pressure and meet tight deadlines in a fast-paced environment.
- Strong organizational abilities and meticulous attention to detail, ensuring accuracy in all tasks.
- A proactive, mature approach to work, with the flexibility to adapt to changing priorities.
- Capable of managing multiple tasks efficiently and effectively prioritizing responsibilities.
- Strong interpersonal skills, with the ability to build and maintain relationships across all levels of the organization.
- Proficient in Microsoft Office Suite and other relevant software applications.
- Fluent in both spoken and written English and Chinese.
