Employees aren't malicious; they just want to finish work faster. They are pasting client contracts into public AI tools to "summarize this," unknowingly training public models with your confidential IP.
The Fix: The "Green Lane" Policy
Don't just say "No." Create a "Traffic Light" system:
- 🔴 Red Light (Banned): Never input client names, financial data, or PII (Personally Identifiable Information) into public AI.
- 🟡 Yellow Light (Caution): Drafting emails, brainstorming marketing copy (sanitized data only).
- 🟢 Green Light (Approved): Using the Enterprise version of tools (where data is not used for training) provided by IT.

You need an "Acceptable Use Policy" (AUP) signed by all staff ASAP!
