Role Overview

A dual-function role combining finance, HR, and office management with a strong emphasis on IT procurement. You will support Capiteq's internal operations and work closely with IT teams across Singapore and Hong Kong to manage the full procurement lifecycle for hardware, software, and services. A background at an IT distributor, reseller, or managed services business is essential, as is familiarity with IT products, licensing, and vendors.

Key Responsibilities

Finance and Accounting

Manage day-to-day bookkeeping in QuickBooks Online, including invoicing, reconciliation, and expense tracking
Prepare and process purchase orders, vendor invoices, and payment runs
Maintain accurate financial records and support month-end close activities
Assist with budgeting, cost tracking, and financial reporting for internal and client-facing engagements

IT Procurement

Source, evaluate, and procure IT hardware, software licences, and SaaS subscriptions
Obtain and compare vendor quotes; manage approval workflows and purchase authorisations
Maintain vendor relationships and negotiate pricing where applicable
Track software licence renewals, warranties, and support contracts
Manage the IT asset register, including hardware inventory, assignment records, and disposal tracking
Coordinate with IT teams in Singapore and Hong Kong to fulfil procurement requests accurately and on time

HR Administration

Support onboarding and offboarding, including documentation and equipment coordination
Maintain employee records and HR administration across both jurisdictions
Administer leave requests, approvals, and balance tracking for Singapore and Hong Kong headcount
Manage sickness absence recording, return-to-work documentation, and escalation where required
Support payroll inputs, coordinating leave and absence data with the Accounts Manager
Ensure compliance with CPF obligations (Singapore) and MPF requirements (Hong Kong)
Employee Visa applications/Recruitment
Shift Management of Employees

Office Management

Oversee day-to-day office operations and facilities management
Manage office supplies, service contracts, and vendor accounts
Ensure compliance with operational policies and internal administrative procedures

Requirements

Essential

2 to 3 years' experience in a combined finance, operations, or office management role
Experience at an IT distributor, reseller, or managed services business, with working familiarity with IT products, licensing, and vendors
Proficient in QuickBooks Online; able to manage the full bookkeeping cycle independently
Demonstrable IT procurement experience across hardware, software licences, and SaaS
Familiar with purchase order processes, vendor management, and IT asset tracking
Working knowledge of Singapore employment regulations, including MOM requirements and Employment Act compliance
Familiarity with the Hong Kong Employment Ordinance, MPF contributions, and statutory leave entitlements
Strong numeracy and attention to detail
Organised, proactive, and comfortable managing multiple workstreams

Preferred

Experience with government grant and subsidy applications
Exposure to SFC-regulated or financial services environments
Familiarity with IT asset management or ITSM platforms
Experience working across Singapore and Hong Kong operational contexts
