Major Duties and Responsibilities

The appointee will play a key role in the Communications team of the Registry, and will be responsible for the following:

Leading a small team to provide administrative and communication support to the Registry;
Coordinating, maintaining and expanding communication channels, such as websites, announcements, emails, social media, chatbot and kiosks, including drafting and posting announcements and kiosk messages for the Registry;
Overseeing Registry counter services; managing service standards, rosters, complaint escalation, and policy compliance;
Executing timely communication plans aligned with student lifecycle and key academic events to enhance student experience;
Supporting digital initiatives, (e.g. chatbot), including usage tracking, statistical reporting, feedback collection, maintaining the student announcement system, and updating the current student portal and staff portal;
Overseeing and handling distance learning student enquiry services across counter, email, hotline and chatbot;
Preparing weekly DL admission statistics during enrolment periods and leading DL brochure production and distribution;
Contributing to the preparation of related reports, as well as the review and implementation of the policies, regulations, and procedures;
Assisting in the development and implementation of system enhancements to meet the Registry's needs
Coordinating production and publishing of Student Handbooks (UG, TPG, DL) with internal teams and external parties; and
Supervising junior/clerical staff, and performing any other duties as assigned by the Registrar or his/her nominee(s).

Candidates

Candidates should possess the following qualifications, experience and competence:

A recognized degree with at least 4 years’ relevant post-qualification administrative and supervisory experience;
Previous experience in a tertiary institute or higher education environment is highly desirable, with specifc exposure to Registry operations or programme management being a strong advantage;
Excellent interpersonal and communication skills in both English and Chinese, preferably including Putonghua;
Hands-on experience with digital communication tools, content/ document management systems, and data analytics/ reporting;
Knowledge of or experience with student information systems/ applications is highly advantageous;
Strong leadership, organizational and problem-solving skills; able to manage multiple priorities and work under pressure to meet deadlines; and
Customer-focused, collaborative mindset, self-motivated and experience working with diverse academic and administrative stakeholders.

Shortlisted candidates will be invited to attend a written test.

An attractive remuneration package, including basic salary, an end-of-contract gratuity, and a discretionary incentive payment, where applicable, will be offered to the right candidates.
