The Internal Communications Manager is responsible for developing and delivering clear, timely, and engaging communications and presentations that support organizational alignment, employee engagement, and effective information flow across the school community. This role partners closely with leadership, HR, and functional teams to translate key messages, initiatives, and operational updates into accessible internal communications across multiple channels. The position ensures consistency of voice and messaging, supports change communication, and maintains internal communication platforms and resources to help employees stay informed, connected, and aligned with school priorities.
KEY AREAS OF RESPONSIBILITY:
Internal Communications Strategy & Execution
- Develop and implement a comprehensive internal communications strategy aligned with the School’s strategic plan and leadership priorities.
- Ensure consistent, accurate, and audience appropriate messaging across all internal channels.
- Translate complex or sensitive information into clear, accessible communications for diverse internal audiences.
Leadership & Change Communications
- Partner with senior leadership to support communication related to institutional priorities, change initiatives, and major school‑wide decisions.
- Draft and manage communications related to organizational updates, policy changes, strategic initiatives, and crisis or time sensitive situations.
- Participate in Executive Leadership Team meetings to gain context on leadership decisions and ensure internal communications are aligned, accurate, and communicated when necessary.
Content Development & Channel Management
- Create and manage content for internal communication platforms, including staff newsletters, intranet content, announcements, and internal campaigns.
- Establish and uphold editorial standards for clarity, tone, and consistency.
- Leverage multiple formats (written, visual, digital) to improve reach, engagement, and understanding.
Editorial Leadership & Content Support
- Provide editorial guidance and support to internal stakeholders to develop and produce high quality informational content aligned with the HKIS Mission, brand voice, and visual identity (e.g., communications from the Head of School, divisional newsletters, Board communications).
- Work closely with key stakeholders across the School to ensure consistency of messaging, tone, and visual identity across internal and select external communications.
- Support administrators and other stakeholders in the design and development of presentations and materials for outward facing audiences, including conferences and professional engagements where HKIS leaders present.
- Streamline internal communications to ensure alignment and consistent use of faculty portals within Microsoft Teams.
- Ensure internal documentation is clearly organized, current, and easily accessible through Microsoft Teams.
- Ensure HKIS foundational documents are maintained, current, accessible and effectively organized through Microsoft Teams while protecting confidentiality where necessary.
Faculty & Staff Engagement
- Support transparency, trust, and engagement by strategically engaging faculty and improving schoolwide decisions and their rationale are communicated.
- Collaborate with Human Resources, Academic Leadership, and Operations to ensure coordinated messaging.
- Gather feedback and assess communication effectiveness to continuously improve internal
- Serve as a strategic communication link between Faculty Council and senior leadership by attending Faculty Council meetings and ensuring clear, timely, and transparent responses to faculty questions, particularly those related to institutional decision making.
Cross Campus & Community Coordination
- Ensure effective communication across campuses, divisions, and functional areas in a large, complex school organization.
- Support alignment between internal communications and external messaging in coordination with the Marketing and Communications team.
- Collaborate with the Associate Head of School and the Marketing and Communications Office to ensure employee calendars are accurate, up to date, and reflective of relevant school events.
Other
- Undertake other duties and functions as required that will impact and strengthen the contributions of the department and overall operations of the school.
Minimum requirements and qualifications:
Education:
- Bachelors degree, preferably in Communications/Journalism.
Experience:
- 5+ years experience in journalism and communications, including newspapers, magazines and corporate environments. Substantial experience as an outstanding writer and editor.
Required skills:
- Excellent writing and editing skills.
- Native English speaker; conversational Cantonese an advantage.
- Public speaking skills and ability to represent HKIS to the press and greater Hong Kong community.
- Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels in a multicultural environment.
- Ability and desire to collaborate extensively with advancement colleagues to strengthen HKIS' relationships and reputation as the top school in Hong Kong
- Ability to work independently under tight deadlines when required.
- Substantial experience in dealing with the media, government departments, donors, corporate sponsors and community organizations.
- Advanced computer skills, web content management, publications and production skills (Word, Excel, InDesign, Publisher, Front Page, PowerPoint).
- Photography and design skills an advantage.
