Project Coordination and Venue Operation Officer (Contract)

Job Duties:
(a) To assist in planning and conducting various events, e.g. accessible service, exhibition preview, exhibition opening, guided tour, fun fair, etc.;
(b) To provide support for accessible art projects, e.g. planning and leading accessible guided tour;
(c) To follow up logistics, and be responsible for organising the services to be carried out according to the plans, and provide adequate labour, equipment and materials to ensure smooth running of the events;
(d) To provide support in administrative, financial, procurement and contract management matters, etc.;
(e) To prepare Chinese and English documents including meeting agenda, minutes, reports, work schedules and presentations with MS Word, Excel and PowerPoint;
(f) To carry out checking on the performance of the contractors and special arrangements and measures with the Government Representative for variation;
(g) To liaise and coordinate with different partners, such as government departments and contractors, for venue management purpose in ensuring the daily operation;
(h) To liaison with schools and community organizations to provide guided tour service;
(i) To liaise and coordinate with project partner and different contractors for ensuring the smooth running of the event;
(j) To follow up logistics to ensure smooth running of the programmes;
(k) To assist in preparing publicity materials for various e-channels and printed media; monitor office Facebook, lnstagram and other social media account when required;
(1) To provide simple photo taking, video shooting and editing for programmes;
(m) To deliver workshops to schools and community organizations when necessary;
(n) To assist in equipment and storage management;
(o) To perform any other duties as assigned by the supervisors.

Requirements:
Academic and Experience Requirements:

Shall possess at least a Bachelor degree or above in Cultural Management, Art Administration, Event Management, Property Management, Facility Management, Chinese Language, English Language or related discipline from a recognised university/tertiary institution in Hong Kong or Overseas, or equivalent;
Shall have at least one (1) year of post-qualification working experience in property/ facility management, event management or public relations, and responsible for relevant administrative work. Working experience in local museum, art/cultural organisation or equivalent is an advantage.

Language and Computer Skills

Proficient in spoken and written Chinese and English, and speak good Putonghua;
Fast and accurate typing skills in both Chinese and English; and
Possess good computer literacy of including but not limited to MS Office for general office administration.

Other Preferable Knowledge and Skills
(i) Level 3 or above in Chinese Language and English Language in the Hong Kong Diploma of Secondary Education Examination (HKDSE), or equivalent is preferred; or
(ii) Level 3 / Grade D or above in Chinese Language and English Language in the Hong Kong Certificate of Education Examination (HKCEE), or equivalent is preferred.

Have knowledge and skills in staff management and gallery operation management, etc. Experience in coordinating gallery ambassadors/ docents is preferred.
Preferable to have customer service experience and skills, effective in interpersonal and communication skills in handling enquiries and complaints.
Effective computer knowledge and skills including but not limited to MS Office and Photoshop. Experience with video editing, printing and publishing tools is an advantage.
Knowledge and skills in social media tools information technology website structure are preferable.
