Administrative Assistant

Reporting to the Executive Officer (Medical Services), the Administrative Assistant (Medical Services) is expected to provide strong support both administratively and clerically to maintain a smooth operation in the Medical Services Division head office. The incumbent should meet the specified requirements and will assume the following responsibilities.

Key Responsibilities

Assist in handling human resources functions for the Agency’s dental clinics and Medical Services head office which includes part-time payroll, contract renewal, contract preparation, final payment checking, monitoring working hours of part time staff and preparing duty roster, leave management of Dental Service Assistants (DSAs), performance management of DSAs and full cycle of recruitment process for frontline staff and DSAs (e.g. shortlisting candidates, interview arrangement, on-boarding arrangement etc.);

Perform accounting and financial duties [input in cost allocation system, input in FMIS, assist in audit report (ODCP) etc.] for dental clinics and Medical Services head office;

Assist in preparing FTE report and headcount report as well as monitoring performance of recruitment channels;

Assist in preparing budget report for dental clinics;

Assist in procurement process and sourcing vendors; and

Assist in the Agency’s fund-raising activities e.g. charity walk, flag day, spring reception etc.

Requirements:

Higher diploma or degree holder preferred;
Good command of English and Chinese, both written and spoken;
Preference will be given to candidates with relevant experience;
Experience in using financial system would be an advantage;
Proficient in Microsoft Office Suite (Word, Excel, Powerpoint and Outlook);
Self-motivated, independent and willing to learn; and
Multi-tasking, able to work under pressure and meet tight timelines.

Working Hour: 39 net hours per week

Location: Central

Salary: Agency’s Split Master Pay Scale Point 11 to 28, i.e. currently HK$20,153 to $33,405 (will commensurate with the appointee’s qualifications and work experience)
