The Enrollment Management Assistant will be the first point of contact for responding to admission inquiries via telephone and email. In addition to managing the front desk, he/she will coordinate the processing of student applications and support the Admissions Office and Director of Admissions in clerical and administrative duties to ensure the smooth running of the department. Attention to detail, willingness to work overtime as needed, especially during high season, and the ability to handle stress are paramount to success in this role. A calm and respectful demeanor is beneficial.

KEY AREAS OF RESPONSIBILITY

Customer Relations :

Handle admissions email accounts and phone calls. Respond swiftly and knowledgeably to admission inquiries in a friendly manner.
Act as the first point of contact for prospective families, which includes greeting visitors, maintain a presentable reception area, serving beverages to visitors, and duly answer any inquiries related to admissions.
Maintain the admissions office calendar and support admissions related activities including tour, open house and registrar duties (e.g. reissuing transcripts and providing attendance certification).
Support Director of Admissions with scheduling, appointments and expense reports.
Prepare materials for tours, new family orientation, and on- and off-site outreach events.

Information Management :

Create and maintain inquiry records in the admissions database
Maintain an up-to-date student information system. Coordinate the processing of student applications, including but not limited to pre-registration approval, application forms review, supporting documents approval as well as troubleshooting where possible.
Organize applicant paperwork accurately and quickly for Admission Coordinators to review.
Keep inventory of admission related materials.

General Knowledge :

Possess good understanding of HKIS as a school, general knowledge of the education program offered and the admissions process in order to ensure smooth operation of the Office.
Be knowledgeable of basic Registrar functions including certificate of verification and transcript processing.

Other:

Support Director of Admissions with scheduling, appointments, and expense reports
Work independently and collaboratively with people involved in the admissions process. Maintain a positive attitude and high-level of motivation in order to carry out duties and undertake any admissions related tasks as requested by the Director of Admissions.

MINIMUM REQUIREMENTS AND QUALIFICATIONS

Education:

University Graduate preferred

Experience:

Demonstrated competency in dealing with the public and minimum of 3 years work experience in an administrative function

Required Skills:

Strong attention to detail
Punctual, reliable and consistent
Strong interpersonal skills and organizational proficiency
Ability to work cooperatively with parents, students, principals, teachers and co-workers
Proficient in Microsoft Office; experience with PowerSchool SIS is an advantage
Ability to prioritize, self-motivate and work effectively under pressure
Fluent spoken and written English is a must; speaking Cantonese and Mandarin is a plus.
Tech-savvy and ability to adapt to new software and tools. Currently, we are using a specific tool, but there are plans to change the tool, so being adaptable and a quick study with new technology is important.
Intellectual curiosity and interest in a school setting are valuable.
